The Universal File Naming Formula

Never wonder what a file is or when it was created again. Use this standardized formula for every client file you save.

The Formula

[YYYY-MM-DD]_[ClientLastName]_[DeliverableName]_[Version]

Why it works

Starting with the date in Year-Month-Day format ensures your files automatically sort in chronological order. Using the client's last name makes it instantly searchable.

The Client Folder Skeleton

Deep, complicated folder mazes make things harder to find. Keep your hierarchy shallow and recognizable. Create a "Master Template" folder with this exact structure, and simply duplicate it for every new client.

Safe Character Rules

When sharing files across different platforms like Mac, Windows, Google Drive, and Dropbox, certain characters can break links or cause errors. Stick to these safe naming rules.

A-Z, a-zLetters
0-9Numbers
_Underscores to separate info types
-Hyphens to separate words within a type

Avoid These

[space]Turns into %20 in web links

Quick Rule

If you can type it with just letters, numbers, underscores, and hyphens, you are good. When in doubt, leave it out.
